Vacancy Chair

As the Chair you are responsible for leading and coordinating the board. You ensure this by leading the weekly Board Meetings and keeping good contact with your fellow board members outside the meetings. By doing this you oversee the progress of the whole association. In addition, throughout the whole year, you play one of the most crucial roles in the long-term vision and strategy of the association. If there’s no time to discuss a matter, or when the board doesn’t agree on something, it’s up to you to make the final decision. Lastly, a main task of the Chair is being the contact person for several primary parties, such as the VU and sponsors. 

Specific job duties:

  • Leading and coordinating the board
  • Leading the board meetings 
  • Working closely with the Secretary and the Treasurer
  • Overseeing the progress of the association
  • Keeping an overview of the annual plan/agenda
  • Informed of all the activities within the association and helping where necessary
  • Ensuring the sustainability of the association
  • Responsible for the vision and strategy
  • Representative of the association during formal events/settings
  • Networking
  • Maintaining external contact with partners (VU and sponsors)
  • Leading the General Member meetings 
  • Making final decisions  
  • Giving speeches and writing reports

Requirements:

Vacancy Secretary 

As secretary, you will oversee the email meaning that you will be the first contact person for many. From members with burning questions to potential sponsor deals, all will arrive in our general email and it is the secretary’s job to answer them or send them to the right address. Furthermore, you take minutes of all meetings in FAM (Board Meeting, General Team Meeting, ALV’s, ect) and keep all the members updated through the newsletters. Lastly, you will be responsible for overviewing the memberships, which means that you will be keeping the membership register up-to-date and you will be overviewing the membership payments. 

In short, as a secretary you will do a lot and a lot of typing! It is very important you are punctual. Furthermore, it is important that you are creative and flexible, as answering the questions that members ask are quite specific and often require some out-of-the-box thinking. You will be responsible for multiple crucial tasks, which makes your task indispensable! Vacancy Treasurer

As a treasurer you are a combination of the financial director, accountant and administrative assistant at FAM. You determine whether the board’s plans are financially feasible and you translate policy into a financial overview. The tasks are mainly aimed at keeping the accounts, reports and overviews in order. You will also maintain close contact with the head of the acquisition committee to oversee the (potential) partnerships and incoming funds.  

 

Specific job duties:

  • Inform the board about the financial health of the association
  • Prepare the annual financial report and account
  • Make and monitor the annual and periodic budget
  • Applications for grants and funds
  • Maintain contact with institutions
  • Maintain the financial administration.
  • Management of the association’s accounts and treasury
  • Process tax returns 
  • Keep track of registrations in Chamber of Commerce
  • Monitor recognition of the institution
  • Make invoices and accounts payable
  • Approve and pay invoices.
  • Make payments
  • Working closely with Acquisition Chair

 

Requirements:

Vacancy Commissioner of Internal Affairs

 

The Commissioner for Internal Affairs is responsible for helping oversee the successful advancement of the active members of the FAM team. As the person of contact within the Board for the Committee Chairs, the Commissioner for Internal Affairs is able to assist in facilitating a healthy relationship between all the active members and establish a strong flow of communication between the Chairs and the Board. The Commissioner for Internal Affairs is also tasked with closely overseeing the Events, Families, and Travel committees. Furthermore, the Commissioner for Internal Affairs holds the Human Resource responsibilities and is the designated head of HR. All in all, within this role, you work closely with the Board as well as the Chairs to maintain a safe(r) space where all team members are able to efficiently operate together towards the goal of sustainable growth for the association. 

Specific job duties: 

  • Overseeing the Events, Families and Travel committees. 
  • Communicating with the chairs about project and event expectations and goals
  • Be the contact person team-wide for any HR-related issues and take appropriate action in confidentiality.
  • Conduct progress interviews with committee members. 
  • Collecting and analyzing feedback from the committee members and facilitating feedback sessions team-wide. 
  • Manage team and board bonding activities.
  • Responsible for maintaining contracts of committee members. 
  • Write internal communications documents, including handouts and emails, to inform team members of important notices. 
  • Monitor code of conduct compliance across all FAM activities. 
  • Designated trusted confidant for team members.

Vacancy Commissioner of External Affairs 

The Commissioner of External Affairs is responsible for the communication and relationship maintenance between the association and the Faculties. Through this communication, the Commissioner of External Affairs creates exposure for FAM to consequently find potential partners and collaborations. Furthermore, the Commissioner of External Affairs is responsible for the external representation of the association, meaning serve as a representative of the association in relation to/in regards to external contacts. Within this role, you work closely with your fellow Board Members and Committee Chairs in order to realize the requisite connections. Additionally, you are in close contact with the Marketing Committee Chair and closely oversee the Marketing Committee to ensure everything goes smoothly. 

 

Specific job duties: 

  • Communicating with fellow Board Members and Committee Chairs 
  • Maintaining relationships with the Faculties, Study- and Student associations as well as other external partners 
  • Be the contact person for questions and communication related to external partners 
  • Supporting and collaborating with the Events, Family and Travel committee concerning the content and accessories of their activities 
  • Actively search for and initiate with potential partners and collaborations related to D&I
